Authors Instructions for Camera Ready – Workshops

To ensure appropriate consideration of conflicts of interest during the review process, the IEEE ComSoc prohibits changes to the list of authors once a paper has been submitted for review during review, revision, or (if accepted) final publication. The author list may be changed only prior to the submission deadline.

To be published in the IEEE SECON 2020 Workshop Proceedings and to be eligible for publication in IEEE Xplore®, an author of an accepted paper is required to register for the workshop at the full (member or non-member) rate and the paper must be presented by an author of that paper at the workshop unless the Workshop Chairs grants permission for a substitute presenter arranged in advance of the event who is qualified both to present and answer questions. Non-refundable registration fees must be paid for accepted papers. Accepted and presented papers will be submitted to IEEE Xplore®.

Revise your Paper

Please read the reviews of your paper and follow the reviewers’ recommendations for revising it and preparing the final version. When you are done with the revision, please print out your paper and carefully proofread it. Proofread your source document thoroughly to confirm that it will require no revision. Note that your document must not exceed six (6) pages.

Format your Paper

  • Ensure that your PDF complies with the conference paper template provided by IEEE. Formatting requirements can be found at: https://www.ieee.org/conferences_events/conferences/publishing/templates.html
  • All papers must be formatted for printing on US letter (no A4). For LaTex users, choose the “conference” option. Do not alter the template in any ways. Your paper should not contain page numbers. Do not rely on the automatic check to detect all ways a paper can mismatch the template.

Add the copyright notice to your final version

  • Add one of the following copyright notices at the bottom of the first page of your paper depending on your personal case:
    • For papers in which all authors are employed by the US government, the copyright notice is: U.S. Government work not protected by U.S. copyright
    • For papers in which all authors are employed by a Crown government (UK, Canada, and Australia), the copyright notice is: 978-1-7281-1062-2/20/$31.00 ©2020 Crown
    • For papers in which all authors are employed by the European Union, the copyright notice is: 978-1-7281-1062-2/20/$31.00 ©2020 European Union
    • For all other papers the copyright notice is: 978-1-7281-1062-2/20/$31.00 ©2020 IEEE

    If you are using the LaTeX template, add the following lines before \begin{document} and adapt them to the copyright notice that appy to your case. The following example apply to the last category:

    \IEEEoverridecommandlockouts\IEEEpubid{\makebox[\columnwidth]{978-1-7281-1062-2/20/\$31.00 2020 $\copyright$ IEEE \hfill}\hspace{\columnsep}\makebox[\columnwidth]{ }}

    If you are using the Word template, choose to the option “Insert” followed by “Text Box” and include the applicable copyright notice in this newly created box. Move the created box (no border) to the bottom left of the paper’s first page.

  • Check visually that the appearance of your paper matches that of the sample paper provided here

Submit your Electronic Copyright Form

Please fill out and submit the form to access the IEEE Electronic Copyright Form (eCF) system. The eCF system allows you to complete and sign the copyright release form. You must complete the IEEE copyright release form using the eCF system before submitting your paper.

Please note: You are stating that the material in your paper is original and you have not previously released copyright for this paper to another party. We cannot publish your paper without this properly completed form.

Create your IEEE Xplore-Compatible version

Only papers checked by IEEE PDF eXpress for IEEE Xplore compatibility are eligible to be submitted as final versions. This step can consume substantial time, so it needs to be done well before the deadline.

Log in to the IEEE PDF eXpress TM site.

First-time users should do the following:

  1. Select the “New Users – Click Here link.”
  2. Enter the following:
    1. 50264X for the Conference ID
    2. Your e-mail address
    3. A password
  3. Continue to enter information as prompted.

An online confirmation will be displayed and an email confirmation will be sent verifying your account setup.

Previous users of PDF eXpress need to follow the above steps but should enter the same password that was used for previous workshops. Verify that your contact information is valid.

If your submitted paper is not compatible or the generation of the compatible version fails, you must address the existing issues. The verification and error solving process and may take time, so please do not start this step at the last minute. If you do not submit a final version that is a IEEE Xplore-Compatible PDF, you take the risk of your paper not being included in the workshop proceedings.

Submit your Paper

Your final paper must be submitted according to the respective deadline of your event to be included in the workshop proceedings.
To submit your final workshop submission, please follow the instruction on the respective website.

Register to the Workshop

The presenting author must register for the workshop before the registration deadline. Note that even if the presenter is a student, he/she must pay a Full Registration. One author registration is valid for three main workshop papers. The paper must be presented by an author of the paper at the workshop unless the Workshop Chairs grants permission for a substitute presenter arranged in advance of the event who is qualified both to present and answer questions (see also the no-shows and substitute presenter policy below).

Policies on no-shows and substitute presenters

Each paper must be presented by an author of the paper at the workshop taking place online. Permission to have the paper presented by a substitute presenter may be granted by the Workshop Chairs under extraordinary circumstances. A substitute presenter must be qualified to answer questions regarding the paper. A request of a substitute presenter must be sent to the Workshop Chairs no later than 5:00pm US ET, Monday, 8 June 2020. The Workshop Chairs may approve or deny the request by 5:00pm US ET Friday, 12 June 2020. A no-response by the Workshop Chairs after this deadline shall be considered as denial.

A paper not presented or presented by a non-author without prior written approval by the Workshop Chairs will be removed from the final workshop proceedings before uploading to IEEE Xplore®. No refund will be made to authors of these papers.
